Maintaining audit readiness
Having hosted and prepared for numerous audits throughout my career, I can say from experience that bringing the right team into quality audits, whether a customer audit, notified body audit, or internal audit can drive home the importance of maintaining audit readiness across the entire organization. From firsthand experience, I have seen that it is not the quality department alone that makes an audit successful; engaging the full team of subject matter experts improves the organization’s overall audit outcomes and preparedness.
When the team of SMEs are in the room with the auditors, explaining their processes, presenting records and answering questions, there is a deeper, more practical understanding of the auditing process. I have found this level of involvement allows the broader organization, not just the quality department, to consider what could be requested and examined during an audit. Having key personnel present during audits can reinforce what is needed to maintain a compliant quality management system. By design, this practice increases the audit preparedness of the overall organization, recognizing that the quality function cannot be everywhere all the time.
When an organization increases audit involvement of subject matter experts, it can strengthen sustainable compliance by embedding technical knowledge into QMS processes. SMEs help identify root causes, prioritize improvements, and design controls in quality systems that persist beyond audit cycles. This in turn reduces repeat nonconformities and lowers compliance costs over time. Their participation can also accelerate remediation and foster cross-functional ownership of quality.
Positive audit outcomes protect the company’s reputation, reduce regulatory and operational risk, and enhance customer satisfaction, all of which support stronger financial performance and can prove to be a competitive advantage. Make sure that preparing for your next audit includes engaging your organization’s SMEs. You will find over time, this preparation strategy will boost compliance and achieve a state of audit readiness throughout all departments.
